Community Development for All People (CD4AP) is seeking an experienced and mature individual possessing a dynamic mix of skills in the areas of administrative office support and communications. We are seeking someone with the experience, skills, and commitment to excellence related to performing traditional administrative office support tasks and responsibilities. This represents the core of the job and priority as it relates to tasks and responsibilities. In addition, within the same individual, we are seeking a mix of experience and skills in the areas of both internal and external communications. While this communications related set of responsibilities are secondary, performing these tasks and responsibilities with excellence is also vitally important to the success of the organization. The individual selected for this job will be afforded the unique opportunity to experience and support the organization in the most basic of ways while also contributing to and improving upon our efforts to communicate all that we do both internally and externally. The candidate selected for this newly created position will provide assistance to and receive day-to-day direction from our existing Office Manager. This position reports to the Director of Operations.

General Overview
The newly created Office and Communications Assistant position is a part-time role. The part-time position is expected to offer 25-30 hours each week. The weekly work schedule is Monday – Friday. CD4AP is seeking a candidate that can work 6-8 hours on Monday with the remainder of the weekly hours spread evenly over the remainder of the week. Approximately 2/3 of the role will be dedicated to providing administrative support to members of the Community Development for All People team. The remaining 1/3 of the role will be concentrated on providing both internal and external Communications support for Community Development for All People. Responsibilities related to each aspect of the role are detailed below.
Office Assistant
-
Multi-line telephone management. Answer multi-line phone system and direct callers as needed. May include responding to requests for information and/or taking and forwarding messages.

Referring incoming callers to appropriate service providers and agencies.

Preparing electronic and paper-based correspondence as requested.

FAX preparation to include sending and receiving.

Scanning, electronic storage, and retrieval of hard-copy documents.

Maintaining and creating new contact listings, directories, and databases.

Preparing photocopies to include small and high-volume requests.

Providing related administrative support for in-house training and events. To include preparation of documents, assisting with travel arrangements, and planning for catering related needs.

Identifying and implementing related process improvements.

Receiving and processing incoming financial contributions and donations.

Destroying documents as requested.

Electronic and paper-based file management.
-
Maintaining and ensuring high quality working condition of office equipment.

Ordering supplies and materials as needed.

Providing various levels of administrative support for 5-7 team members.

Greet visitors and ensure that persons arriving for meetings make their way to appropriate location in the building.
Communications Assistant
· Prepare and distribute press releases.
· Prepare and distribute newsletters to include hard-copy and electronic.
· Maintain website presence.
· Contribute to website redesign.
· Maintain, establish, and/or strengthen social media presence.
· Maintain and/or support new and/or existing blogs.
· Assist with preparation of Annual Report.
· Assist with and/or maintain internal calendars.
· Establish group-based Contact Management System.
· Maintain communication vehicles with target audiences (e.g. participants in prior training programs)
· Assist with preparation of internal and external presentations.
· Assist with preparation of flyers, brochures, and other print collateral.
· Recommend and implement improvements to CD4AP internal and external communication efforts.
Qualifications

High School Degree Required. Completion of Associate Degree preferred.

3 years related experience.

Highly Proficient with MS Office.

Highly Proficient with modern office technologies and related equipment.

Experienced with all areas of external communications to include but not limited to: newsletters, press releases, and maintaining and improving upon a web-based presence.

Highly Proficient with social media.

Highly Proficient telephone skills.

Experience with Contact Management Systems.

Exceptional customer service and interpersonal skills.

Demonstrated ability to solve problems and work under pressure.

Demonstrated ability to be creative, exhibit flexibility and comfort in an autonomous and diverse environment.
